How to activate Exchanges
Scenario:
A customer will book a date/slot but then their plans change and they cannot attend the slot they have booked. With the exchange feature they can move their booking into a new date or slot (subject to availability)..
- Click on the Dashboard of the event you want to activate exchanges on.
- Click “Calendar” (top left)
- Click “Exchange Settings” (top right)
- On the next screen called Exchange Settings, you will see the following options:
Timeslots exchangeable:
EXCHANGE: Allow your customer to exchange their tickets for equivalent tickets on another available date / time slot. If you wish to implement a cut-off point for customer exchanges, simply add your desired time period (in days, hours, minutes).
When exchanges are enabled, you will be presented with two more options:
Force Exchange and Tentative Bookings
FORCE ALL TICKETS TO BE EXCHANGED:
If completing an exchange, customers must exchange every ticket for their purchased date (within the same purchase). This feature prevents the risk of customers changing some of the tickets in their order, but not all. This option is useful if your customers have purchased a mandatory car pass ticket for their slot, for example.
Cut off Point for customer exchange
Days / Hours / Minutes:
How many days / hours / minutes before their time slot start date/time should the customer no longer be able to exchange their tickets.

Allow your customers to exchange their tickets for a tentative booking. Not recommended for single season events.
How many days after the original sale is a tentative booking valid for?
Select this option to allow customers to change their booking from a specified time / date to a tentative time / date (unspecified date / time allowing them to retain the tickets to be exchanged once more at a future date. NB In order to avail of this option you must also select the first option.
Click Save
Exchange Timeslot on behalf of a customer
- Customer Lookup
- Copy paste customer email address
- Click Search
- Click View
- Click Purchases
- When you see the sale ID you want to move, navigate across to the Actions Drop down
- On the dropdown click “Exchange Options”
- The next tab called “Ticket: Exchange” will show the tickets in that Sales ID.
- Select the tickets which need to be moved
- Click Find eligible dates
- On the calendar, select which new date / time slot you want to move the customer into.
- In the corresponding boxes, it will show you how many tickets “are exchangeable”
- Update the boxes with the arrows to reflect the number of tickets that need to be exchanged.
- Click “Exchange Tickets”’
- The customer's wallet will update to the new date / slot and an updated wallet will be sent to the customer.
