How to set up “Exchange all tickets in a sale”

Scenario:

Your event has different ticket types which should all be exchanged if a customer is needing to change a date or timeslot.  You can activate this feature which will mean no customer risks only partly exchanging their tickets in their order.

A good example of this is if you have a mandatory car parking pass plus two adult tickets and a child ticket. To avoid the risk of the customer only exchanging the Adults tickets and forgetting the car ticket and child ticket, this feature will make sure all are changed leaving no surprises on the day of the event.

  1. Click on the Dashboard of the event you want to activate exchanges on.
  2. Click “Calendar” (Top left)
  3. Click “Exchange Settings” (top right)
  4. On the next screen called Exchange Settings, you will see the following options:

Timeslots exchangeable:

EXCHANGE: Allow your customer to exchange their tickets for equivalent tickets on another available date / time slot. If you wish to implement a cut-off point for customer exchanges, simply add your desired time period (in days, hours, minutes).

When exchanges are enabled, you will be presented with two more options:

Force Exchange and Tentative Bookings

  • FORCE ALL TICKETS TO BE EXCHANGED:

If completing an exchange, customers must exchange every ticket for their purchased date (within the same purchase). This feature prevents the risk of customers changing some of the tickets in their order, but not all. This option is useful if your customers have purchased a mandatory car pass ticket for their slot, for example.

Cut off Point for customer exchange

Days / Hours / Minutes:

How many days / hours / minutes before their time slot start date/time should the customer no longer be able to exchange their tickets.

  • TENTATIVE BOOKING:

Allow your customers to exchange their tickets for a tentative booking. Not recommended for single season events. 

  • How many days after the original sale is a tentative booking valid for?

  1. Select this option to allow customers to change their booking from a specified time / date to a tentative time / date (unspecified date / time allowing them to retain the tickets to be exchanged once more at a future date. NB In order to avail of this option you must also select the first option.

How to exchange all tickets in a sale on behalf of a customer

  1. Customer Lookup
  2. Copy paste customer email address
  3. Click Search
  4. Click View
  5. Click Purchases
  6. When you see the sale ID you want to move, navigate across to the Actions Drop down
  7. On the dropdown click “Exchange Options”
  8. The next tab called “Ticket: Exchange” will show the tickets in that Sales ID.
  9. You will see a warning box “ If choosing to exchange, you must exchange all the tickets below.”
  10. Select all of the tickets which need to be exchanged. You can click on the blue box which will automatically tick all of the tickets for you. Click again on the blue box to untick them all.
  11. Click Find eligible dates
  12.  Select the new date on the calendar on the right hand side of the screen.
  13. Beside each ticket it will say how many are “exchangeable”. Navigate the arrows to match the amounts of tickets to be exchanged.
  14. Click “Exchange tickets”
  15. The customer's wallet will update with the new date / timeslot.
