How to set up “Tentative Bookings”

Scenario:

A customer will book a date/slot but then their plans change and they cannot attend the slot they have booked. They are unsure of their future availability and want to put their ticket into a tentative status (unspecified date and time). This is when Tentative Booking comes into play. Let your customers move their booking to a tentative slot whilst they decide what future date they are available. They can then move their tentative slot into a new finalised slot when they are ready.

  1. Click on the Dashboard of the event you want to activate exchanges on.
  2. Click the tile “Time slots Settings”
  3. On the next screen called Time Slots, you will see the following options:
  4. “Timeslots exchangeable” EXCHANGE - allow your customer to exchange their tickets for equivalent tickets on another available date / time slot. When you click this option, you will be presented with another option:
    1. “Timeslots exchangeable” TENTATIVE - Allow your customers to exchange their tickets for a tentative booking. Not recommended for single season events. Select this option to allow customers to change their booking from a specified time / date to a tentative time / date (unspecified date / time allowing them to retain the tickets to be exchanged once more at a future date. NB In order to avail of this option you must also select the first option.
    2. Cut-off point for customer exchange - How many hours / days / mins before their time slot should the customer no longer be able to exchange their tickets. Select the hours / days / minutes using the arrows.
  1. Click Save

Exchange Timeslot to a tentative booking on behalf of a customer

  1. Customer Lookup
  2. Copy paste customer email address
  3. Click Search
  4. Click View
  5. Click Purchases
  6. When you see the sale ID you want to move, navigate across to the Actions Drop down
  7. On the dropdown click “Exchange Options”
  8. The next tab called “Ticket: Exchange” will show the tickets in that Sales ID.
  9. Select the tickets which need to be moved to a tentative booking
  10. Click Find eligible dates
  11. On the bottom right, click the box which says “ Exchange my tickets to a tentative booking. I understand I will lose my original reservation and a desirable future time slot is not guaranteed.”
  12. Click “Exchange to tentative booking”
  13. The customer's wallet will update to a tentative booking (date and time unspecified).
